Membership Policy

Welcome to The Van Club.

The Van Club adheres to a strict Membership Policy to ensure the best possible experience for all members.

The Van Club is a membership-based community designed for motorhome, campervan, self-build van, bus, and overland vehicle enthusiasts. We organise exclusive events, rallies, and meets that bring together like-minded travellers who share a passion for life on the road.

Understanding our Membership Policy is essential for all participants.


Vehicle Requirements

To ensure a safe and comfortable experience at our rally and meet sites, which do not provide toilet facilities, each vehicle must meet specific minimum self-contained requirements.

All attending vehicles must:

  • Be self-propelled (no caravans or trailer tents)
  • Have an onboard toilet
  • Have built-in cooking facilities
  • Have a permanent or designated bed (not a mattress placed on the floor, but a fixed bed, rock-and-roll bed, or seating conversion)
These requirements ensure fairness, comfort and safety for all attendees. Failure to comply with these requirements will result in membership revocation.

Membership Term

Membership is valid for 12 months from the date of joining or renewal.


Membership Types

Founding Memberships

At launch, an exclusive 250 vans may become Founding Members at £25.
Benefits include:

  • Lifetime renewal at £25 (as long as membership does not lapse)
  • 10% discount on rally fees
  • Key role in shaping the early development of the club
General Membership
  • Covers one van and two adult members
  • Includes minors under 18 at no additional cost
  • Access to all club services, events, and activities
  • Annual membership fee: £35 per van (subject to annual review)

Terms & Conditions – Free Gift Eligibility

The free gift is available only to:

  • Members who join at a show where The Van Club is exhibiting (gift provided on the day), or
  • Online members, who will receive their gift at the first rally/show attended where the club has an official presence.
Free gifts:
  • Will not be posted
  • Cannot be collected at non-Van Club events

Membership Cancellation Policy

Members are entitled to a 14-day cooling-off period, provided they have not utilised any Club Services, including attending events or rallies.

Cancellations must:

  • Be made through the app, or
  • Be submitted in writing to the Club
Where a goody bag has been issued at a show, a £10 administration fee will be deducted.

Once membership is cancelled:

  • Member discounts no longer apply
  • Voting rights are immediately removed

Overseas Rally Attendance Policy

Attendance at any overseas rally is strictly limited to fully paid-up and active members of The Van Club.

Membership:

  • Must be valid at the time of booking
  • Must remain valid throughout the rally
It is the member’s responsibility to ensure their membership remains current.

Rally & Event Booking Refund Policy

The following applies to all paid rallies, events and meet bookings:

Refunds 21 Days or More Before the Event

  • A refund will be issued minus a £5 administration fee to cover card charges incurred.
Refunds Within 21 Days of the Event
  • The booking is non-refundable, as venues, entertainment and supplies will already be booked and paid.
  • However, The Van Club will attempt to resell your place.
  • If successfully resold, a refund will be issued minus a £5 administration fee.
Resale Clarification
  • Reselling is not guaranteed and relies on member demand and time available.
Event Cancellation by The Van Club

If the Club cancels an event (excluding weather or venue closure beyond our control), all monies paid will be refunded in full.


Members Undertaking

Upon acceptance into membership, I agree to:

  • Abide by the Club’s Memorandum and Articles of Association, and associated regulations
  • Pay all entrance fees and annual subscriptions set by the Council
  • Follow the Club’s rules, the Camper’s Code, and uphold established camping standards
Limited Liability

The liability of each member is limited to £1, being the maximum contribution required in the event the Club is wound up while they are a member or within one year after they cease to be a member, for:

  • Payment of the company’s debts and liabilities contracted before they cease to be a member
  • Payment of the costs, charges and expenses of winding up
  • Adjustment of the rights of the contributors among themselves
